SESSIONS & ABSTRACTS
GUIDELINES
GUIDELINES

Sessions with less than 5 abstracts after the abstract deadline will automatically be cancelled, and abstracts in withdrawn sessions will be (re)assigned to sessions having a similar or close topic.

Sessions that receive more than 5, but less than 15 abstracts, or are very similar in scope can be merged. In such a case, conveners need to update the title, abstract, and list of conveners (max 6) of the new, resulting session.

The Scientific and Organizing Committees will schedule all sessions and conveners will be informed by email about the time and room assigned to their session. Conveners are encouraged to organize their sessions considering and promoting under-represented demographics, in particular including: (i) multiple countries and institutes, (ii) different career stages, with particular attention to the participation of early career scientists, and (iii) different genders and all other forms of diversity.

  • Oral blocks (1 hr each) will be assigned depending on the number of abstracts received in the session.
  • Conveners are encouraged to avoid presenting their own work as a speaker in a session they convene.
  • If for some reason none of the conveners aim to be present, a chairperson needs to be appointed to act as a convener.
  • ORAL PRESENTATIONS:
    – Presentations will be 15 min each (max 30 min. in case of keynote speakers), including questions (12 min for presentations +3 min for questions). NO EXTRA TIME WILL BE ALLOWED.
    – Conveners can schedule no more than one keynote speaker per session.
    – Presentations must be prepared using the PowerPoint tool Kit available HERE
    – Presentations must be delivered at the Slides Center two hours before the session or the day before.
PRESENTATIONS SENT BY EMAIL WILL NOT BE CONSIDERED IN ANY CASE.
  • POSTER PRESENTATIONS:
All accepted abstracts for Poster presentation will go through a second evaluation since Posters Sessions will be organized as follows:
    – Two Sessions (on 20 and 21 May) for the Best Posters that will be hanged up on Posters boards in A0 format;
    – One Session for all the others that will be uploaded on electronic Totems during the Congress in A0 pdf format.
Therefore, authors who want to compete for the selection of Best Poster are are invited to submit online the final A0 pdf version of the Poster by using the PowerPoint tool Kit available HERE
All the other posters will be automatically assigned to electonic Totems. The PowerPoint tool Kit for electronic Totems is the same.
More information about this procedure will be emailed directly to Posters authors. The process of upload to compete for Best Poster will be available until 21 April. All the other posters can be uploaded by 4 May.
POSTERS SENT BY EMAIL WILL NOT BE CONSIDERED IN ANY CASE.
